One of the simplest, highest-leverage processes we’ve seen implemented across hundreds of agencies is the daily production meeting.

When run properly, this meeting alone can add 6–7 figures in annual profit to an agency.

The Hidden Problem

We recently worked with a cold-calling agency whose clients weren’t happy with the results. On paper, the team was talented. But when we dug in, we realized they didn’t have a consistent huddle or production meeting in place.

That one missing process created a ripple effect:

  • No daily feedback loops meant problems festered.

  • Coaching opportunities were constantly missed.

  • KPIs drifted, unnoticed, until clients started complaining.

  • The founder was blindsided when results dipped.

The numbers told the story. In a single week:

How to Run the Meeting

Amazon uses a structured kickoff process they call “SSSPACER” (Safety, Success, Standard work, Purpose, Agenda, Code of conduct, Evaluation, Roles). That’s a mouthful, but you don’t need something that complex to see massive gains.

Here’s a simple cadence that works for most agencies:

1. Kickoff with Purpose. Start with announcements and context. Why does this meeting exist? What are we aligning around today?

2. Data Review.  Each team member comes prepared to share their key metrics, trends, and any gaps. The goal is not just to recite numbers, but to explain why the numbers look the way they do.

For example, one of the managers in the cold-calling agency identified that a caller wasn’t balancing call volume across clients and wasn’t qualifying properly. Their solution? Daily one-on-one coaching sessions to course correct. That’s the level of root-cause clarity you want.

3. Action & Accountability. Numbers without action don’t matter. Push for SMART commitments: Specific, Measurable, Actionable, Realistic, and Time-bound. And then hold people to them in the next day’s huddle.

The goals are reporting, diagnosing, solving, and compounding small wins daily.
