STEAL THIS: 3 AI Systems Every Agency Should Have

Three builds from this week — each one born from a problem an agency was tolerating.

💡 Today's Key Insight:

The most expensive problems in your agency are the silent ones.

Not the work on your plate. The stuff nobody's watching.

Every week my team ships solutions for agencies. And every week we see the same problems show up across all of them.

Here are three we turned into systems this week.

1. Site Monitoring

Problem: Client sites break silently. A security certificate expires. A site stops responding. A setting gets left exposed. Someone's "supposed to check," but it slips — so you hear about it from the client.

Solution: We built an automated daily check that runs across the entire client site list. It ranks every finding by severity and drops a message in slack the moment something's critical.

This week it caught an expired security certificate on one site, and another that had gone completely unreachable — both before they became a fire drill.

Most days it reports nothing. That's the point.

Nobody logs in to "check the sites" again.

2. Monthly Client Report

Problem: The monthly client report. Everyone avoids it, and it eats hours every time.

Solution: One client got a system this week that pulls everything — the ads data, the change history, call notes, emails, team messages, project comments — writes the full narrative, checks its own work, and hands to a team member to draft approval.

Once approved, it builds the client-facing deck.

It can run on a schedule or whenever you want it.

The report writes itself. Your team just signs off.

3. Watchdog Report

Problem: A campaign starts spending with zero conversions or a ranking quietly drops. It goes unnoticed until someone audits — and by then it's cost real money or real traffic.

Solution: We built a system that watches for the stuff that's off, across both paid and organic. On paid, it flags what actually matters — like spend with zero conversions.

On SEO, it pulls Search Console and SEMrush and catches ranking drops and pages falling out of Google.

This week it caught 12 pages that had quietly dropped out of Google because they weren't indexable.

And anything that isn't an emergency doesn't just ping someone and get forgotten. It becomes a task in your project management tool, assigned to the right person, with the full context attached.

The problem finds the owner — not the other way around.

Final Thought

Three problems. Same root.

In every one, the work wasn't the hard part. The watching was.

A person can't monitor everything, every day, forever. A system can — and it never gets bored, never forgets, never takes a day off.

That's the unlock. Not doing more. Missing less.

Build the dream, not a prison.
