The full list — sales, delivery, audits, reporting, internal, people — plus the filter that decides what's worth building.

A friend of mine runs a 5M/Yr agency.
On Monday he asked me for a list of all the low hanging fruit he should target while building AI into his business. I sent him a lit and he replied:
"Holy f*ck. Bro, this is gold."
So here it is — plus the reason most agencies never get here on their own.
1. Sales
Pre-call brief. Call 2 and beyond is the version that matters: what was said last time, what they committed to, what's still open.
Recap email, drafted before the rep stands up.
CRM hygiene. Reads the transcript, updates stage, next step, notes, loss reason. Nobody on earth does this by hand.
Follow-up builder, sequenced from what was actually promised on the call. Chases the rep if it doesn't go out.
Lead resurrection. Sweeps closed-lost at 3, 6, and 9 months and pulls the original transcript, so the email references what they actually said instead of "just checking in."
Call scorecards, auto-graded. No manager listening to recordings.
You have a few hundred closed-lost records nobody has touched since the day they were marked lost. Every one of them has a call recording sitting next to it.
2. Delivery
Meeting prep brief. Last three calls, open action items, current performance, unresolved complaints.
Weekly client update. The status email everyone promises and nobody sends.
Scope creep flag. Compares inbound requests against the SOW, flags in or out.
Onboarding chain. Kickoff answers become the setup checklist and access list.
Watchdog. Sentiment across client email and calls. Flags churn risk before the renewal call, not during it.
Deliverable QA against the brief and brand guidelines.
Campaign ideation. Client notes, transcripts, competitor scan. Angles land in the strategist's queue as options, not orders.
Data analyst. Three lists: scale, kill, fix. With reasons.
Strategy tracker. Reads the PM board and flags when the work stops matching the strategy.
3. Audits
Most managers grade their team on vibes and whoever complained last. These produce a number instead.
Call performance. Agenda set, next step booked, objections handled, talk ratio.
Off-call performance. Response time, turnaround, task completion, missed deadlines. The half of the job nobody measures.
SOP compliance. Did the work follow the documented process.
Client health. Sentiment, results, hours vs budget, renewal risk.
Data hygiene. Stale deals, blank next steps, unlogged calls, tasks with no owner.
Software spend. Seats nobody has opened in 60 days.
Access. Offboarded people who still have logins.

4. Reporting
If someone logs into a platform, exports a CSV, and pastes it somewhere else, that is not a report.
That is a data pipe with a person standing in the middle of it.
Two fixes, depending on the report.
On a schedule that runs itself: client performance, weekly pacing, ROI emails, QBR decks, pipeline and forecast, cash position, AR aging, margin per account, utilization, churn.
As a skill, on demand: any number, asked in Slack. The owner who asks "what's our average account tenure by service line" and burns two hours of an ops person's day is exactly what this fixes.
Then one agent on top, watching for spend spikes, conversion drops, and tracking breaks. Right now you find out about a broken pixel when the client emails you. Build it so it goes the other direction.
Anything still manual after that is manual because it needs judgment. Those are the only ones a person should touch.
5. Internal
Looms into skills. Record the task once, the agent writes the SOP. This is how you actually build a skill library instead of talking about building one for two years.
Inbox triage. Spam gone, priority surfaced, notifications that mean something.
EA agent. Handles calendar management, oversees inbox triage, and routes emails where they belong.
PM agent. Audits and drives project management compliance across the org. Reads every call and email to catch new actions that must be added and assigned.
CFO agent. Forecasts, mid-month financials, AR chasing. Most owners find out about a cash problem 45 days late.
Knowledge agent in Slack, so "where's the reporting template" stops pinging ops.
6. People
1:1 prep brief. Last commitments, current numbers, what changed, what to ask about.
Review prep. 90 days of call grades, QA, and completed work, drafted. Turns a two-week scramble into an edit.
Satisfaction pulse, flagging whoever dropped two months running.
Nudges for stale 1:1s, birthdays, work anniversaries, and new hires falling behind ramp.
Final Thought
I could have made this list 5x bigger without breaking a sweat.
The rubber meets the road when you have a process that consistently turns manual work into systems — week after week, not as a one-time project.
The agencies doing that already are building the sustainable businesses of the next decade.
Build the dream. Not a prison.
